Why Eventia

Why organizers choose us for exhibitions

We know the big venues

We have delivered 100+ conferences, including at Dubai World Trade Centre, ADNEC and DIFC, so hall rules, load-in windows and approvals are familiar ground.

Organizer and builder in one

We build exhibition stands in Dubai and Riyadh, so shell scheme, feature areas and on-site fixes are handled by our own crew, not a chain of subcontractors.

Two markets, one team

With offices in Dubai and Riyadh, the same planners can run your show in either country, or in both, with one brief and one budget.

Itemised, open budgets

Every proposal lists each line, from hall rental and shell scheme to registration and security, so your finance team can approve it quickly.

Exhibiting, not organizing?

Need a stand at a show?

If your company is taking space at someone else's exhibition, you need a stand contractor rather than an organizer. Our stand teams design, build and dismantle custom stands in both countries.

Planning guide

Organizing a trade show in the UAE or Saudi Arabia: what to know

6 points we agree with every client before dates and a venue are fixed.

Exhibition hall with exhibitor stands in Saudi Arabia

Check the industry calendar

Avoid clashing with the big shows in your sector, and with Ramadan, Eid and national days. Exhibitors and visitors plan their year around these dates.

Book the venue early

Popular halls are booked many months ahead. Include build-up and dismantle days in the rental, not only the open days.

Plan permits into the timeline

Dubai and Abu Dhabi tourism approvals, and in Saudi Arabia permits for business events and exhibitions, need documents such as the floor plan and exhibitor list. Leave time for them.

Fix the floor plan before selling space

Stand sizes, prices, corner and island stands, and sponsor areas should be clear before exhibitor sales start, with venue and fire-safety sign-off.

Give exhibitors one manual

One exhibitor manual with deadlines, rules, utility forms and contacts saves dozens of emails and avoids problems at build-up.

Plan visitor flow and content

Registration, entrance, signage in Arabic and English, seminar timings and food and rest areas decide how long visitors stay on the floor.

Budget

What affects the cost of organizing an exhibition?

Exhibition budgets depend far more on choices than on a fixed rate card. These lines move the budget most:

  • Venue size and rental days, including build-up and dismantle
  • Floor plan, shell scheme and feature areas
  • Seminar stages, AV and LED screens
  • Registration, badging and visitor marketing
  • Staffing, hostesses, security and cleaning
  • Permits, freight and logistics

  2. Preferred city and dates

FAQs

Exhibitions and trade shows: your questions

Can't find your answer? Message our team and we'll reply within 24 hours.

Ask on WhatsApp
What does an exhibition organizer do?

An exhibition organizer plans and runs the whole show, not one stand. We secure the venue and dates, design the floor plan, manage exhibitor services and the exhibitor manual, set up registration and badging, build shell scheme, feature areas and seminar stages, coordinate permits, security and cleaning, and run build-up, show days and dismantle.

What is the difference between an exhibition organizer and a stand contractor?

A stand contractor designs and builds one company's booth. An exhibition organizer runs the event that all the exhibitors take part in. We do both: if you are an exhibitor, see our exhibition stand pages for Dubai and Riyadh.

Do you organize exhibitions in both the UAE and Saudi Arabia?

Yes. Our UAE team is in Al Quoz, Dubai and our Saudi team is in Riyadh. We work in Dubai, Abu Dhabi and the other Emirates, and in Riyadh, Jeddah and the Eastern Province.

Which venues can you work with?

Any purpose-built exhibition centre, hotel ballroom or outdoor site that suits the show size. In the UAE we have delivered conferences at Dubai World Trade Centre, ADNEC and DIFC, so we know their load-in rules, rigging limits and approval steps.

Do you handle exhibition permits and approvals?

Yes. In Dubai exhibitions usually need Department of Economy and Tourism approval, and in Abu Dhabi Department of Culture and Tourism approval. In Saudi Arabia, business events and exhibitions may need a permit from the Saudi Conventions and Exhibitions General Authority, and public entertainment elements a General Entertainment Authority licence. We confirm what applies and build it into the timeline.

How far ahead should we plan a trade show?

For a new trade show, start 9 to 12 months ahead so the venue, permits and exhibitor sales have time. A smaller corporate or private expo can be done in 8 to 12 weeks if the venue is available.

Can you manage exhibitor and visitor registration?

Yes. We set up online registration for visitors, badge printing and scanning on site, and exhibitor forms for stand details, utilities, catalogue entries and badges, with daily attendance reports for your team.

How much does it cost to organize an exhibition?

It depends on venue size and rental days, floor plan and shell scheme, feature areas and stages, registration, marketing, staffing, security and permits. We send an itemised proposal within 48 hours of your brief so you can see and adjust each line.
